Greek Songfest is a year-long philanthropic endeavor that culminates in a Broadway Musical Showcase celebrating the efforts of the past year and showcasing the talents of Greek students at UC Irvine. 

All Executive Board Positions are a 13-month commitment (June 2015-June 2016).

Executive Board Positions *
Please check the box next to the three positions you are most interested in. There are two philanthropy directors and two promotion directors.

You will be contacted about setting up a date and time for an interview for the positions you selected. Greek Songfest Executive Board

Roles and Duties of Executive Officers

 

Executive Producer

  • Chairs and plans content of all Executive Board meetings. 
  • Represents Greek Songfest at Greek, campus, and community events. 
  • Coordinates pairings of chapters and show selection with the Executive Director. 
  • Secures corporate sponsorship with the Marketing Director and Greek Songfest Advisor. 
  • Coordinates the selection of the annual theme for Greek Songfest for Executive Board approval. 
  • Coordinates the selection of the philanthropy for Greek Songfest with the Philanthropy Director(s) for Executive Board approval.
  • Serves as a liaison to chapter presidents and ambassadors.
  • Assists the Marketing Director with program production and all other printed materials. Proofs posters, parent and alumni mailers, flyers, programs, and/or all materials related to Greek Songfest.
  • Secures security and emergency personnel for the theatrical performance.
  • Shall reserve the right to cancel, call to order, or reschedule an Executive Board, Ambassador, and/or Director Meeting.
  • Shall have co-authorization signature over all expenses along with the Business Manager and Greek Songfest Advisor.

Assistant Producer 

  • Chairs the Ambassador meetings. 
  • Secures meeting rooms for Executive Board, Representative, and Director meeting.
  • Keeps track of points earned for the Philanthropy, Volunteering, Donations and Representative of the Year award.
  • Takes roll at Representative meetings.
  • Keeps in direct contact with all representatives throughout the year of Songfest.
  • Helps create a positive environment for representatives to continue to be motivate.
  • Oversees the production of the Representative’s Manual.
  • Motivates and helps each representative with their chapter announcements, as well as one on one meetings to help them be successful.
  • Collects all plaques and coordinates engraving.
  • Assists with operations during rehearsals and the theatrical performances.
  • Cleans up immediately after the conclusion of the theatrical performance.
  • Shall assume the role of Executive Producer in the absence, resignation, or incapacitation of the Executive Producer.
  • Other duties as assigned by the Executive Producer and/or the Greek SongfestAdvisor.

Executive Director 

  • Chairs Director Meetings with the Assistant Director. 
  • Coordinates elements of stage, sound, and lighting with the Assistant Director. 
  • Organizes all rehearsals in the Bren Events Center with the Assistant Director. 
  • Creates chapter pairings with the Executive Producer and the Assistant Director. 
  • Provides feedback to casts during rehearsal checks with the Assistant Director and Executive Producer.
  • Reviews sets, props, and costumes proposed for use prior to entering the Bren.
  • Reviews quality and length of music for each theatrical performance.
  • Provides training for directors in accordance with lighting and sound design.
  • Revises and updates the Director’s manual for Directors. 
  • Creates Judging Criteria for Musical Showcase, and edits questions, and descriptions.
  • Acts as an Artistic Director for all shows.
    • Provides individual ideas, and critiques for shows
    • Liaison for the shows and the sound technician and lighting designer
  • Organizes and helps strike after the conclusion of the theatrical performance.

Assistant Director 

  • Chairs Director Meetings with the Executive Director. 
  • Takes attendance at the Director meeting if the Executive Director feels is necessary.
  • Coordinates and helps with rehearsal visits with the Executive Director. 
  • Helps the Executive Director with any assistance needed.
  • Organizes and Creates any schedules throughout the year
  • Coordinates the selection of the spotlight operators. 
  • Serves as the BOH Manager/Stage Manager for the theatrical performance. 
  • Prepares contact sheets for the Directors. 
  • Secures, contacts, and chooses judges for the theatrical performance.
    •  The Executive Director may help if needed
  • Organizes the arrival of the judges the night of the theatrical performance. 
  • Helps the Executive Director organize strike immediately after the performance. Shall assume the role of Executive Director in the absence of Executive Director. 
  • Duties as assigned by the Executive Producer/Director, or the Greek Songfest Advisor.
  • Read the duties of the Executive Director, as the work is delegated between the two.

Co-Philanthropy Director and Co-Philanthropy Director

  • Investigates possible philanthropic benefactors and collaborates with Executive Producer on selection. 
  • Serves as a liaison between the chosen philanthropic benefactor and the Executive Board.
  • Coordinates service opportunities with the pairings and the selected philanthropic benefactor.
  • Coordinates educational programming about the philanthropy for the participating chapters and the Greek community.
  • Coordinates all fundraising opportunities and committees including weekly boothing events with Business Manager.
  • Assist with operations during rehearsals and the theatrical performances.
  • Cleans up immediately after the conclusion of the theatrical performance.
  • Other duties as assigned by the Executive Producer and/or the Greek Songfest Advisor.

Business Manager 

  • Prepares a budget for Greek Songfest. 
  • Handles all financial expenditures. 
  • Handles all invoicing and deposits. 
  • Prepares weekly financial reports. 
  • Works with the Marketing Director on sponsorship packets. 
  • Applies for funding grants from ASUCI SPFB, Office of the Vice Chancellor, and the Bren Events Center. 
  • Project Manager of all DVD Production, including but not limited to development, taping, and post production (Changeable year-to-year)
  • Assists with operations during rehearsals and the theatrical performances. 
  • Cleans up immediately after the conclusion of the theatrical performance. 
  • Other duties as assigned by the Executive Producer and/or the Greek Songfest Advisor.

Promotions Directors, Public Relations and Digital Design

  • Contacts a graphic designer to design a logo and other artwork for Greek Songfest. 
  • Oversees production of Greek Songfest shirts and Executive Board materials with Marketing Director. 
  • Contacts the media to cover the theatrical performance, philanthropic events, and additional events as needed. 
  • Organizes the chapter poster campaign on campus. 
  • Prepares all press releases.
  • Works closely with the Marketing Director to ensure consistency and coordination of outreach efforts. 
  • Coordinates the Greek Songfest kick-off party with assistance of Marketing Director and Executive Producer. 
  • Organizes and executes all Social Media marketing campaigns, including but not limited to Facebook, Twitter, Tumblr, and the Greek Songfest official website.
  • Prepares the layout and design of the Playbill.
  • Assists with operations during rehearsals and the theatrical performances. 
  • Cleans up immediately after the conclusion of the theatrical performance.
  • Other duties as assigned by the Executive Producer and/or the Greek Songfest Advisor.

Marketing Director 

  • Prepares all outreach efforts to UCI and Greek Alumni. Works with the Alumni Association to market to UCI Alumni. 
  • Prepares all correspondence in expressing appreciation to corporate sponsors, judges and volunteers. 
  • Oversees all Corporate Sponsor relations, with the assistance of the Promotions Directors and the Executive Producer
  • Designs and coordinates Greek Songfest invitations for faculty & staff.
  • Communicates to alumni, parents, and the local community regarding attendance at Greek Songfest. 
  • Assist Promotions Directors to prepare all advertisements for the New University, local newspapers, and other media outlets. 
  • Contacts a printing company to print posters, t-shirts, marketing materials advertising Greek Songfest. 
  • Creates a sponsorship/Marketing packet.
  • Designs and coordinates the mailing of a “Save the Date” postcard to send to alumni and parents. 
  • Assists with operations during rehearsals and the theatrical performances. 
  • Cleans up immediately after the conclusion of the theatrical performance.

Web and Audio/Visual Director 

  • Produces all promotional videos for Greek Songfest. 
  • Provides support for Audio Visual equipment. 
  • Video tapes practice performances.  
  • Coordinates the videotaping and photography of the theatrical performance. 
  • Creates and executes the production of all Audio and Video to be played during Greek Songfest.
  • In charge of capturing and cataloguing all photos and videos taken during Greek Songfest.
  • In charge of hiring official photographer for Greek Songfest.
  • Manages the website and its content. 
  • Assists with operations during rehearsals and the theatrical performances. 
  • Cleans up immediately after the conclusion of the theatrical performance. 
  • Other duties as assigned by the Executive Producer and/or the Greek Songfest Advisor.

Programming Director – new position

  • Coordinates educational programming about the philanthropy for the participating chapters and the Greek community.
  • Coordinates all fundraising opportunities and committees including weekly boothing events with Business Manager.
  • Works closely with the Marketing Director and Promotions Directors to ensure consistency and coordination of outreach efforts. 
  • Coordinates the Greek Songfest kick-off party with assistance of Marketing Director and Executive Producer.
  • Coordinates booths/tables to sell tickets, promote showcase, and philanthropy. 
  • Assists with operations during rehearsals and the theatrical performances. 
  • Cleans up immediately after the conclusion of the theatrical performance. 
  • Other duties as assigned by the Executive Producer and/or the Greek Songfest Advisor.
